Title: Medical Supply Chain Manager  
Department: Practice Operations  
Reports to: VP of Practice Operations  
Direct Reports: 2 Medical Supply Associates  
Hours: Full time/40 hours per week.  
Schedule: 8 Hour Schedule Monday to Friday with some weekends required.  
Main Office Location: Long Island City, New York ; with travel to multiple patient- facing locations in Queens and Manhattan as needed.

FLSA Status: Exempt

Job Purpose: Reporting to the VP of Practice Operations, the Medical Supply Chain Manager is responsible for ensuring the clinical inventory of the organization is consistently maintained, providing direct oversight of all aspects of the Supply Chain processes required to maintain an effective par-level of all medical and surgical supplies on clinical units/areas. This role negotiates with vendors, orders supplies, manages a team of 2 associates, ensures proper signing disbursement and signing out of supplies, conducts inventory counts, insures accurate inventory data into the inventory software system, stores supplies in proper inventory locations and maintains neat and orderly par-level stocking locations.

The manager will collaborate with practice and facility management across the organization’s multiple sites to ensure clinical staff is appropriately trained on frontend inventory-related processes and inventory is stored safely and securely at all locations.

This role is required to possess a deep knowledge of the Inventory Management System (IMS) and is responsible for its Utilization across the organization. The Inventory Manager will monitor costs and provide monthly financial reports to Senior Leadership.

The Inventory Manager is responsible for negotiating and monitoring vendor contracting to ensure high quality and at the best price.

Job Duties:

● Responsible for the entire supply chain for medical and lab supplies for all facilities within our practice

● Identifies and rectifies potential variances in supply lines

● Identifies opportunities to reduce inventory cost by working with various suppliers

● Ensures company maintains an adequate backstock of medical supplies to keep all facilities well  
stocked (inventory par - levels)

● Negotiate Vendor contracts to insure best pricing and par - levels

● Tracks all inventory coming in and going out by inputting inventory data into the inventory management system to ensure proper tracking of all inventory Facilitates transportation of supplies between facilities

● Completes physical inventory daily and orders products as required

● Coordinates, transports and sometimes personally delivers inventory to different sites  
throughout the NY metropolitan area

● Rotates inventory to ensure usage of older materials first. Checks and removes expired or  
products near expiration date

● Works with Team to maintain adequate supplies, organize stock rooms, and review par levels

● Works with Operations Leadership to continuously improve processes within their department

● Insures a clean and organized work area in accordance with regulatory standards

● Creates and reviews reports to identify pricing or quantity discrepancies. Applies this  
information in order to optimize the efficient use of business expenditures on inventory. Ensures  
that discrepancies are resolved

● Identifies and rectifies potential variances in supply lines

● Identifies opportunities to reduce inventory cost by working with various suppliers

● Works with the Quality Assurance Coordinator to ensure equipment is operational and  
coordinates repairs as needed.

● Maintains and monitors inspection of all clinical equipment as per regulatory standards.

Qualifications: 

● 5 years of years of Supply Chain experience within a healthcare setting.

● College Degree Preferred. Relevant work experience accepted in lieu of degree.

● Experience with IMS, ArbiMed preferred.

● Experience managing team of 3 to 5 preferred

● Ability to drive and has an active U.S. state driver’s license

● Knowledge of medical supplies and their use, OBGYN preferred.

● Demonstrated knowledge and experience with vendor management

● Knowledge of the principles and practices of operations and project management including  
coordination, communication, prioritization, troubleshooting, adherence to budget and  
completion of goals.

● Budget skills with the ability to work well with outside companies/agencies and the capacity to develop accurate RFP’s as well as supervise the bidding process.

● Tact, diplomacy, and composure needed for interaction with contractors, vendors, and medical staff.

● Capacity to work with a diverse workforce.

● Critical thinking skills, using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.

● Must be available to work weekends and be part of a call rotation

● Ability to stand with varied movement for hours at a time

● Ability to regularly lift up to 20 pounds (and up to 50 pounds on rare occasions)
